1. Who we are

This website is operated by Fair Play Web, run by James Mottram and based in Snodland, Kent ("Fair Play Web", "we", "our", "us"). We are the data controller for the personal data described in this policy.

2. What data we collect and when

We only collect the data you give us when you contact us or use one of our tools:

  • Contact form: your name, business name, email address and/or phone number, and the contents of your message.
  • Instant site builder & project intake forms: business name, business type, location, services, target audience, brand details, and your contact name, email and phone.
  • Live chat assistant: the messages you type, and any contact details you choose to share so we can follow up.
  • Payments: if you pay for a website or hosting, your name, email and payment details are collected and processed by Stripe. We never see or store your full card details.
  • Technical data: your IP address and basic request information, used for security, spam prevention and rate limiting.

3. How we use your data

  • To respond to your enquiry and provide the service or quote you asked for.
  • To build, host and maintain your website where you engage us to do so.
  • To take payment and manage hosting subscriptions.
  • To protect the site from spam and abuse.

We do not sell your data, and we do not add you to marketing lists without your explicit, separate consent.

4. Legal bases (UK GDPR)

  • Consent — where you submit a form or chat message and have ticked any applicable consent box, and for any optional marketing.
  • Contract — to deliver a website, hosting or other service you have engaged us for.
  • Legitimate interests — responding to business enquiries and keeping our systems secure (spam prevention, rate limiting).

5. Who we share it with (processors)

To run the website and respond to you, your data may be processed by the following service providers:

Each provider acts as our processor (or, for Stripe, an independent controller for payment data) and is permitted to use your data only to provide its service to us.

6. International transfers

Some of the providers above are based outside the UK and EEA. Where data is transferred internationally, it is protected by appropriate safeguards such as the UK International Data Transfer Agreement, the EU Standard Contractual Clauses, or an adequacy decision.

7. How long we keep it

  • Enquiries that don't become projects: up to 12 months, then deleted.
  • Site-builder submissions: kept while we follow up and, if you don't proceed, deleted within 12 months.
  • Client records: kept for the duration of our work together and for up to 6 years afterwards to meet tax and legal obligations.
  • Chat transcripts and notifications: retained only as long as needed to follow up your enquiry.

You can ask us to delete your data sooner at any time (see "Your rights").

8. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or object to our processing of your data, to data portability, and to withdraw consent at any time. To exercise any of these, email hello@fairplayweb.co.uk with the subject "Data request". We will respond within one month.

9. Cookies

Our public website does not use advertising or analytics cookies. A secure, essential cookie is only set if you log in to the private admin area. See our Cookie Policy for details.

10. Complaints

If you have concerns about how we handle your data you can contact us first, or lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

11. Changes

We may update this policy from time to time. The "Last updated" date above shows the latest version.
